Money and getting paid

Statements — billing and getting paid

Gather unbilled work into a statement of account, issue it, and record what lands.

A statement answers "what should I invoice for, and what am I still owed?" — in Waymarq's terms, which your accounting software can't do because it has never heard of a work order or a time log.

It is deliberately a statement of account, not an invoice. Your accounting tool issues the document your client pays against; this is the ledger that tells you what belongs on it.

What can be billed

Drafting a statement gathers everything unbilled:

  • Work orders — billable ones, only once complete. Billing work that isn't finished is a decision, not a default.
  • Time — billable time, on hourly projects only. On a fixed fee the hours are already covered by the fee.
  • Expenses — only ones actually incurred.
  • Payment terms from the project's schedule.

Absorbed work orders and planned expenses are correctly left out.

Nothing is consumed until you issue

A draft is a proposal. You can rebuild it, empty it or delete it freely — nothing is marked billed until you issue. That's on purpose: if drafting consumed the sources, an abandoned draft would silently swallow a month of billable work.

Issuing

Issue freezes the lines and marks the sources billed so they can't be billed twice. The lines are copies from that moment, so editing a work order's price afterwards can't rewrite what your client was already told they owe.

Issuing an empty statement is refused — it bills nothing and tells the client nothing.

Getting paid

Record a payment with the amount and a reference. Part payments are supported: pay £500 of £870 and the statement reads Part paid with £370 outstanding. Clearing a payment wipes the record entirely rather than leaving a stale amount on a statement that's no longer paid.

Void releases every source back to unbilled and keeps the statement — it was sent to someone, so a record saying "issued then withdrawn" beats a gap in the numbering.

The PDF

Issued and paid statements can be downloaded as a PDF, headed Statement of account, carrying your organisation's logo, both addresses, the line items, totals and what's outstanding. Drafts can't — an official-looking document describing a proposal nobody has agreed to is how a client gets confused.

Accounting software

There's no accounting integration yet. The two API endpoints that would drive one exist and are documented: list a project's payment terms, and mark one paid. See the developer documentation.
