Getting started
Setting up your organisation
Country, currency, tax, working week and holidays — the settings everything else inherits.
Your organisation holds the settings the rest of the app inherits. Get these right early and you'll rarely touch them again. Find them under Organisation settings in the sidebar (owners and admins only).
Details
Name and country. The country does more work than it looks: it sets your currency, the tax terminology you'll see throughout (VAT, GST, Sales tax and so on), and which public holidays you can import. Set it before you start quoting.
If you're in the UK, the Look up company button will find your company by name or number and fill in the registered address and company number for you.
Billing address. Shown on statements and quotes.
Plan
What you'd pay us, kept deliberately separate from Billing defaults below — that tab is about what you charge your clients, and the two are easy to run together.
Waymarq is free while it's in early access, so nothing is charged today. The tab exists so the number isn't a surprise later:
- A seat is anyone who can change something — owners, admins and members. One seat each.
- Viewers are free, however many you add. Read-only access has never seemed like something worth charging for, and it's the usual complaint about the tools this replaces.
- Sharing a project with a client needs no account at all, so it costs nothing either. See Sharing with clients.
- Seats are counted per organisation. Someone in two of yours takes a seat in each.
Billing defaults
What you charge your clients — not what you pay us.
- Default hourly rate — used as a hint when you set a project's rate. Each project's own rate always wins.
- Currency — what money is displayed in across the organisation.
- Tax — switch it on and the standard rate for your country is filled in for you. Change it if yours differs.
These are defaults, not rules. A project can always price itself differently.
Schedule
Working week. Tick the days you actually work. Waymarq only ever schedules work onto working days, so a five-day week means a task estimated at five days spans a full week, not five calendar days including the weekend.
Public holidays. Choose Import holidays and Waymarq pulls the public holidays for your country for this year and next, refreshing monthly. Each one has an Observed tick: leave it on and no work is scheduled that day and it's shaded on the timeline; untick it and it's ignored. Re-importing never overrides a date you've chosen not to observe.
You can also add your own dates — a company shutdown, an office move — with Add date.
AI and API
Both live on their own tabs and are covered separately in Turning on AI. You can ignore them entirely; nothing else depends on them.
Personal workspaces
If you signed up "just for me", your workspace is named after you — "Sam's Workspace" — and you can rename it any time. You'll see Account settings rather than Organisation settings, with the team features hidden — a personal workspace is a single user by definition. When you're ready to bring people in, use Convert to business account on the Details tab — or just invite someone: inviting anybody, to the organisation or to a single project, converts the workspace to a business automatically, so you can see and manage who you've invited. Your workspace's name stays as it was (you may want to rename it) and nothing you've created is affected.
